The situation

A condition of sale required the company to exit its legacy ERP system within twelve months. By November 2021, with go-live scheduled for January, the project was in trouble. The ERP vendor had flagged concerns about readiness, and there were serious discussions about postponing the cutover.

While the finance stream was well supported, other critical areas had not received the same attention. Master data for materials, suppliers, and manufacturing had not been cleansed. Bills of materials were scattered across multiple sources with no central documentation. With tens of thousands of dollars at stake for every month of delay, the client engaged Waypost.

What we did

Assessing the gaps: Waypost conducted a rapid assessment in the first week. The priority areas were clear: master data quality, manufacturing documentation, and dangerous goods compliance. Waypost took ownership of supply chain, procurement, sales, and manufacturing data.

Getting the data right: Of the 3,500 SKUs requiring migration, many had incomplete descriptions, missing attributes, or no linkage to dangerous goods classifications. Waypost established a structured cleansing process. Each hazardous goods item was mapped to its UN classification. The 250 Bills of Materials were compiled into a single register and validated with scientists signing off before upload.

Making go-live happen: Waypost executed master data uploads, supported UAT, and provided hands-on assistance through cutover. Open transactions including purchase orders, sales orders, manufacturing batch sheets, and stock-in-transit were all mapped, frozen, and migrated. The go-live proceeded on schedule with no critical issues.

Stabilising operations: Post go-live, Waypost remained engaged to embed operations and resolve legacy issues. A key initiative was implementing stock replenishment reporting, replacing the spreadsheet-based ordering process.

The result

The client met its contractual deadline and avoided the ongoing costs of running parallel systems. The go-live was clean — no critical defects, no emergency workarounds.

Within six months, all sites had completed full inventory reconciliation for the first time in the organisation’s history. Supply chain teams moved from reactive spreadsheet management to system-generated reorder reports, improving visibility and reducing manual effort.
